Murdock Trust new grant management system transition April 9-18

UPDATE: As we shared last month, the Murdock Trust will roll out a new grant application system called Fluxx on April 18 (please read the below for background on the change). In order to migrate data and ensure everything is functioning properly, we needed to temporarily limit the submission of reports and completed applications beginning April 9 until April 18. During this window, the system will not be able to accept reports from grantees or applications from those with approved Letters of Inquiry (LOIs). However, those who wish to submit new LOIs may continue to do so following the instructions posted on our website.

For all active applicants and grantees, on April 18 you will receive an email with instructions on how to access the new Grants Portal and continue your application or reporting activities that have not already occurred. Please continue to monitor the Trust’s website for updates. If you have any questions, please contact your assigned program director, give us a call at 360-694-8415 or email info@murdocktrust.org. We appreciate your patience and flexibility and trust this transition will be of great service to you going forward.

#####

One of the top priorities for the team at the Murdock Trust is to identify ways we can streamline our grantmaking process and make it more efficient and effective for you. We know that nonprofits invest significant time when applying for a grant and we want to honor that by ensuring the systems we have are as efficient as possible in helping you apply and helping us review your request.

With that in mind, we are excited to share that April 18, the Murdock Trust will transition to a new grant application system built by Fluxx that will be available through the Grants Opportunities page of our website. Fluxx is one of the industry leaders in developing collaborative, cloud-based solutions for funders and grantees. They’ve worked with foundations across the country, including the Knight Foundation, the Ford Foundation, the Ewing Marion Kauffman Foundation, the IKEA Foundation and many more.

For more than a year now, our grants staff has worked closely with the team at Fluxx to build a platform that we are calling our Grants Portal, which will meet the unique needs of the nonprofits we serve. We are excited to officially unveil it. In the meantime, we wanted to be sure to share what this means for nonprofits that are either currently a grantee, in the grant process or may soon submit an application to the Murdock Trust.

If you have an active grant with scheduled payments and contingencies:  You will be provided information on how to access our new Grants Portal on April 18. Your executive director or CEO (for scientific research grants, the VPR or appropriate contact) will receive an email with details related to pending reporting requirements and payment requests. Until April 9 you may submit reports and payment requests by following the instructions on our website and using the reports@murdocktrust.org email address.

If you have submitted a grant application and are awaiting a decision: You do not need to take any action. Your executive director or CEO will be emailed information on how to access the Grants Portal.  If you need help navigating the new system, please don’t hesitate to contact your program director.

If you have an approved LOI (Letter of Inquiry) but have not submitted your application: Unfortunately, we cannot transfer applications that have been partially drafted and saved in our current system but not officially submitted.  If you are unable to submit your completed proposal prior to April 9, you will be asked to complete a new application that is nearly identical to our current application, using the new system. However, you will not be able to submit in the new system until April 18 or later.  Your executive director or CEO will receive an email with instructions for accessing the new Grants Portal on April 18.

If you are planning to submit an LOI in the near future: You may do so at any time by following the instructions on our website. Up until the transition to the new Grants Portal, you can submit your LOI to loi@murdocktrust.org. Following the transition, you will need to submit your LOI through a registered account in Fluxx. The process will be clearly described on the website and will not take long.

If you have previously received a grant from the Murdock Trust and are considering submitting an application for a future project but do not currently have a request pending, this will have no immediate impact on you. Likely you will notice a more helpful user experience during your next application process. We hope you will find the new system more helpful and more efficient. We value your feedback as we “fine tune” this new process. Please send thoughts and feedback to fluxx@murdocktrust.org.

Finally, we want to emphasize that this update is based directly on feedback and input we’ve received over time from our applicants and grantees. We are grateful to work with countless organizations that are willing to share tangible thoughts and ideas that can help us continue to improve our partnership with you. If this change prompts any questions or concerns, please do not hesitate to reach out the Trust, and we will follow up with you as quickly as possible.
